Eligible costs
Travel expenses – costs related to transportation to the event
- bus or train tickets (including seat reservations or sleeper berths) in 2nd class
- economy class airfare. When air travel is used, an economy class ticket and directly related fees (e.g. airport fees) are considered eligible only for flights over 500 km. For this purpose, the distance is assessed as the shortest route by road between the place of departure and the destination of the trip according to a publicly available route planner. If the distance is shorter, airfare expenses may be considered uneconomical.
- tickets for local public transport
Accommodation – accommodation costs must correspond to prices usual for the given place and time and must comply with the principle of cost efficiency. Cost efficiency is assessed not only by comparing offers within walking distance of the conference/internship venue, but also within a 30-minute travel distance by public transport.
- accommodation abroad: maximum EUR 60 per person per night (or the equivalent in another currency). Higher amounts may be approved only exceptionally if it is demonstrated that cheaper accommodation is unavailable within public transport distance. For comparison, it is recommended to use e.g. booking.com with prices set in EUR. The comparison must include at least 3 different offers on Booking with a rating of 7 or higher, and it should be done at least 1 month before the stay begins (because prices often increase when accommodation is booked at the last minute).
- accommodation in the Czech Republic: maximum CZK 2,150 per person per night. For stays longer than two nights, it is necessary to demonstrate that cheaper accommodation could not be obtained using the procedure described above.
Necessary ancillary expenses – other expenses related to the event, e.g.: conference fees, course fees, summer school fees, travel insurance, photocopying in libraries.
In strictly necessary cases, it is possible to depart one day in advance and return the day after the event, if it is not possible to travel on the day the event starts or ends.
For international events (conferences, summer schools, internships, etc.), it is possible to apply for reimbursement of the expected costs in advance, before the event begins.
Non-eligible costs
- use of a private motor vehicle (even up to the cost of public transport)
- taxi services
- meal allowances / per diem
